The Departmental Account functions as a single, shared communication hub for the entire department. This setup allows different team members, depending on their shift or role, to log into the account and manage communication on behalf of the entire department. This ensures continuity, as each team member can see all relevant messages, updates, and tasks, enabling them to seamlessly take over from colleagues who are off-shift.
Role-Based Access and Shift Tracking
Within the Departmental Account, individual actions are tracked, allowing the department to see which specific user is managing communication at any given time. This shift tracking feature ensures accountability and clarity, making it easy to monitor who is handling communication and providing updates during different shifts. Role-based access controls also allow department heads or administrators to determine who can access the account and what actions they can perform.
Cross-Departmental Collaboration
While each department has its own dedicated account, Messagenius supports cross-departmental collaboration by enabling secure communication between different Departmental Accounts. This facilitates coordination on joint projects or shared responsibilities, ensuring that communication remains organized and efficient across the entire organization.

Managers can use several specific features to improve communication and coordination: – Black box chats are available to make a permanent recording of conversations. – Black hole chats are the opposite, and allow conversations to be permanently deleted. – Broadcast messages can be sent to everyone in a group or the entire organization. Many other features can be customized for your use. If there is a special function you would like to improve your management or communication, then Messagenius can deliver it for you.
In the beginning, you can provide a list of your users, including their names and email addresses. We will create accounts and credentials for your users so they can access the system. After installation, user management can be controlled by the people to whom your organization has given this permission.
User access and data review can be configured in any way that suits your company’s operating requirements. The software can be configured so that only one person has access for oversight. Equally, it is possible to configure the software so that data can be reviewed and managed by multiple people, such as the Chief Information Officer or Chief Technological Officer.
Messagenius offers complete customization of our product. This means you can decide how users in your organization can contact one another. We achieve this through Lightweight Directory Access Protocol (LDAP) and Active Directory functions. Thus, we can organize all the contacts in your company based on their roles. A standard configuration allows lower level employees to reach out horizontally, but limits their vertical communications. Higher level managers can communicate with anyone in the company. However, this is fully customizable, so if your business would benefit from a different organization, then this is possible to achieve.
Step 1: Create a group chat or open an existing group where you are the admin.
Step 2: To add admins, go to the group settings and select members to assign the admin role.
Step 3: Manage group settings, including adding/removing participants, enabling features, and controlling permissions.
Step 4 (Optional): If needed, delegate the admin role to another member and become a regular participant.
Step 1: Open the group chat settings from the chat list.
Step 2: To add a member, select “Add Participant” and choose users from the contact list.
Step 3: To remove a member, select the participant’s name and choose “Remove from Group.”
Step 4: Confirm your action. The group will update with a notification of the change.

Step 2: Select “Create New Channel” and choose between a public or private channel.
Step 3: Configure the channel settings, such as visibility and access permissions.

Step 2: To create a new profile, click on “Create New Profile” and enter the necessary information, including role, department, and permissions.
Step 3: If self-registration is enabled, users can navigate to the sign-up page, enter the required information, and submit for approval.
Step 4: Admins can review, approve, and assign roles to user-created profiles if needed.
Step 5: To update a profile, select the user from the list and make the necessary changes.Step 6: Save all changes to ensure the profile is updated in real-time.

Step 3: Assign the appropriate labels, categories, or tags from the available customizable options.
If you need to create a new category, tag, or label, go to the Categories, Tags, or Labels menu. Click “Create New,” enter the name of the new property, and save.
Step 4: Save your changes to update the user’s categorization.
Step 5 (Optional): Open the contact list and apply filters to search for users based on the newly assigned properties, such as categories, tags, or other labels.
